What attachments are required for an annual statement?

At the beginning of the year, it is time for many guardians and for some of those acting under the continuing power of attorney, to prepare an annual statement. With these instructions, you can ensure that the attachments you submit are appropriate and complete. This helps the auditing of your annual statement proceed as smoothly as possible.

Include only the necessary documents 

When preparing the annual statement, attach only the documents we request for auditing. Usually, only a small number of attachments are needed. Keep all other receipts and documents yourself. 

Remember that you must store all paper and electronic documents for the entire duration of the guardianship and for three years after it has ended. 

What attachments are generally required? 

Include only the essential documents.

The documents typically required for the annual statement are:

  • the latest pre-completed tax return or tax decision 
  • account statements, balance certificates or asset reports for bank accounts and investments 
  • new pension and benefit decisions, as well as agreements related to housing and bank accounts 
  • agreements or supporting documents for loans and guarantees 
  • estate inventory deeds for estates of the deceased 
  • an authorization (power of attorney) to prepare the annual statement, when several people manage the client’s property and financial affairs. 

These documents are not required: 

  • event tickets 
  • postcards 
  • shopping receipts 
  • other invoices for ordinary purchases 

If any essential information is missing, we will request additional details. 

Submit the annual statement primarily electronically

When using the digital service, you also submit all attachments electronically. You can scan documents with a multifunction printer or by using a mobile device with a scanning application / camera. Please make sure the scanned image is easily readable. The service guides you in adding each attachment to its correct location. 

The Guardianship e-service provides step-by-step instructions for preparing the annual statement and helps ensure that all required information and documents are included. Preparing future annual statements becomes easier, as the service uses previously provided information as a starting point.

Submitting the annual statement on paper 

If you cannot use the digital service, you may submit the annual statement on paper. Fill in the forms clearly and pay special attention to the attachments according to these instructions.  

Do not send original documents 

  • Attach only copies of documents to the annual statement. 
  • We do not return any paper documents you send us, as all paper attachments are scanned and securely destroyed afterwards. 
  • Always keep the original documents and receipts yourself. 

How should paper statements and attachments be submitted? 

All paper annual statements are scanned. Therefore, the material must be easy to handle. Submit the attachments as a small stack of A4-sized pages, with sheets kept loose. 

  • no staples 
  • no paper clips 
  • no tape 
  • no plastic pockets 
  • no folders
