Submitting Electronic Documents

In many countries, authorities issue electronic documents without a handwritten signature or stamp. We can accept electronic documents only if we can verify their authenticity electronically, for example with a QR code, or a link in the document.  The electronic document must also be legalised if necessary.  Note that a scanned copy or photo of a certificate is not the same as an electronic document.

You can send us an electronic document via email only if the electronic document can be verified for example with a QR code or a link included in the certificate.

If your message contains personal or other confidential information, remember to use our secure email service. Choose the address  [email protected] as the recipient.

Returning documents back to you 

If you deliver original documents to us, we will return them to you by regular mail and not registered mail. This means that we do not assume responsibility for the documents that are returned to you by regular mail.

We do not return:

  • original standard extracts from register issued by other Nordic countries or Estonia
  • copies, certified copies, or electronic documents

As a rule, we return documents to the applicant’s own address, unless they have specifically requested delivery to another address. If someone other than the applicant collects the documents from our service location, they must have a power of attorney.

We do not store your documents permanently, even if you have not provided us with a valid return address or contact information. The documents will be destroyed after 6 months. Documents returned to us due to an incomplete address will be stored for 6 months.
