Privacy statement for the customer service for organisations
The customer service for organisations is aimed at business and organisational customers of the Digital and Population Data Services Agency that are interested in the Agency’s organisational services or use services such as Suomi.fi e-Authorizations.
Emails sent by customers to the Digital and Population Data Services Agency, as well as service requests made by customers by telephone or chat, are stored in the customer service systems for organisational customers. Your information may be found in this register if you have submitted a service request or an enquiry to the Digital and Population Data Services Agency.

The customer service for organisations is an advisory service meant for organisations using the Digital and Population Data Services Agency’s services. The goal of the service is to raise awareness of organisational services offered by the Digital and Population Data Services Agency and facilitate their use.
Personal data is used for responding to service requests received by the customer service for organisations and for forwarding the feedback received on the operation of public authorities. Phone calls and data are recorded to ensure the quality of customer service.
The processing of personal data is based on the Digital and Population Services Agency's statutory obligations as well as the performance of a task carried out in the public interest. Provisions on the activities and certain services of the Digital and Population Data Services Agency are laid down in the Act on the Population Information System (661/2019) and the Population Register Centre 's Certificate Authority Services and the Act on Joint Administrative Electronic Support Services (571/2016).
Personal data is retained for two years to make it possible to return to a customer's past service event. However, recordings of phone calls are only retained for one year.
The following information is necessary for the provision of customer service and will be stored in the customer service system:

phone number, start and end time of the call, queueing time

language used in the service: Finnish/Swedish/English

email address, if provided by the customer

content of feedback or service request: what was asked and the given answer

other information that the registered user has provided through email or via phone, such as a name.
Phone calls are recorded to ensure service quality. Customers hear an automatic message at the start of each telephone call informing them that the call will be recorded.
Information is obtained from the customers themselves.
As a rule, no information is disclosed to third parties. If the matter concerns a service provided by the public authorities and requires a response to the customer, the email address or the phone number and, if necessary, the contact content data are forwarded to the appropriate public authorities.
Under the law, information may also be disclosed to the police.
No personal data is transferred outside the EU or EEA.
No personal data is used for automated decision-making.
Right of access
You have the right to access your personal data and check its content.
You can send a request to check your personal data to the Registry office of the Digital and Population Data Services Agency. Be prepared to provide proof of identity.
Right of revision
You have the right to correct your personal data if you notice that it contains inaccurate or incorrect information. The request for corrections must be submitted in writing to the contact person of the registry. In your request, please specify which information should be corrected as well as the specific changes and additions to be made. Be prepared to provide proof of identity.
Limitations to the rights of the data subject
Most of the services provided by the Digital and Population Data Services Agency are based on compliance with the controller’s statutory obligation, on the performance of a duty of public interest or the exercise of public authority. In such cases, you do not have any right to demand that your personal data should be deleted or transferred to another system. Moreover, as a rule, you do not have any right to object to the processing of your personal data.
If you think that your personal data is processed unlawfully, you can submit a complaint to the Office of the Data Protection Ombudsman.
