Ceepos cash register system
Ceepos cash register system is used for cash and card payment at the Digital and Population Data Services Agency's customer service points. Customer service is available in 32 areas with a total of 75 checkout points. The main purpose of the cash register system is the receipt of payments (cash, payment cards, mobile payment) by Notary and legal confirmation services, Population Information Services, for various extracts and certificates (Population Information System extracts, reports on family relationships) and the related accounting and statistics.

The data is processed for the management of the Digital and Population Data Services Agency’s financial transactions and accounting. The payments are due to various services provided by the Digital and Population Data Services Agency, which are part of the Agency's duties by virtue of law.
The personal data contained in the cash register system is processed on the basis of the customer's consent (Article 6, paragraph 1, point a of the General Data Protection Regulation).
The retention periods of personal data in the customer register are based on legislation that specifies the retention periods for accounting material. Depending on the data, personal data is stored for 6 years (e.g. receipts) or 10 years (e.g. daily and general ledger).
The name of a private person or company representative is saved in the cash register system if the customer so wishes. The name is only marked on the receipt that is stored in the archive. No separate customer register will be created of the customers.
Information about the customer's name is obtained from the customer themselves if the customer wants their name on the receipt.
Information is not disclosed to third parties. The receipts are transferred to the electronic Handi archive maintained by Palkeet (Government Shared Services Centre for Finance and HR).
Personal data will not be transferred outside the EU or EEA countries or to international organisations.
Personal data will not be used for automated decision-making.
Right of inspection
You have the right to gain access to your personal data and check its content. You can send a request to check your personal data to the Registry office of the Digital and Population Data Services Agency. Be prepared to prove your identity.
Right to revision
You have the right to correct your personal data when you observe that it is inaccurate or incorrect. Submit the written request to the registry’s contact person. In the request for revision, state the information to be corrected and its exact change or addition. Be prepared to provide proof of identity.
Right to the removal of data
You have the right to require the Digital and Population Data Services Agency to delete your personal data that is processed on the basis of your consent. You can send the request for removal in writing to the registry’s contact person. Be prepared to provide proof of identity.
If you think that your personal data is being processed unlawfully, you can file a complaint with the Office of the Data Protection Ombudsman.
