Mandate service provided by officials: Notarisation of foreign documents
General considerations
The foreign documents appended to the mandate application must be original and notarised.
Please, note that any documents submitted as an attachment to an application will not be returned. Please, take a copy of the documents and send the originals as attached to the mandate application. The staples and seals in the documents must be left in place.
Foreign document entitling to sign (e.g. extract from the trade register or other account of the jurisdiction of the signatories of the application)
Foreign register extracts submitted as documents accompanying mandate applications must be original and official extracts issued by a register authority (signed/stamped). If the controller does not confirm the extract with a signature and/or stamp, the notary public must prove that the extract is correct. Any other document proving the authority of the signatory must be original and certified as above.
A certified extract cannot be older than six (6) months at the time when the application is received at the office for processing. If proof of authenticity is not available in Finnish, Swedish or English, a translation by an official translator into one of the above-mentioned languages must also be provided.
Foreign passport / identity card
The mandate application must be accompanied by the original copy of a valid foreign passport or ID card of each signatory certified by notary, the notary public / police / court.
The ID card is used as a means of identification for citizens of these countries: Member States of the European Economic Area, San Marino or Switzerland.
A certified copy cannot be older than six (6) months at the time when the application is received for processing. If proof of authenticity is not available in Finnish, Swedish or English, a translation by an official translator into one of the above-mentioned languages must also be provided.
If necessary, the signatory can also log in to the nearest Digital and Population Data Services Agency service location or Finnish local tax office. In this case, they must have a valid identity document with them. Please, note that you need an appointment for some of the service locations. Check the service providers’ website to see if you need an appointment.
